2. Information we collect
2.1 Information you give us
- Contact details — name, email address, phone number, business name — when you fill out our audit form, inbound contact form, chat widget, or booking page, or when you sign up as a client.
- Business details — industry, team size, stated pain points, goals, and any notes you share with us through the audit, intake, or onboarding flow.
- Callback requests — when you ask us to call you (for example, by entering your phone number on a "call me" or instant-demo form), we collect that number specifically to place an automated call to you, usually within minutes.
- Communication content — the substance of emails, SMS messages, chat conversations, and phone calls you exchange with us, including recordings and AI-generated transcripts of calls placed to or from our automated voice system.
- Payment information — if you become a paying client, we use Stripe to process payments. Stripe handles your card details directly; we receive only billing metadata (amount, date, last four digits, plan).
2.2 Information collected automatically
- Usage data — pages visited, referring URL, time spent, approximate location based on IP, browser and device information.
- Cookies and similar technologies — including the Meta Pixel, which sets cookies on your browser to help us understand how visitors arrive at our site and which ads drive interest. See Section 5.
2.3 Information from public and third-party sources
To identify businesses that may benefit from our services, we may collect publicly available information about businesses (such as business name, address, public phone number, public email, website, and review activity) from sources including Google Maps, business websites, and state business registries.
3. How we use information
We use information for the following purposes:
- To provide our services — set up and operate the AI automation systems we build for clients, respond to your requests, schedule discovery calls, and deliver promised work product.
- To communicate with you — send transactional messages (booking confirmations, audit results, onboarding details, invoices), respond to inquiries, and follow up on conversations you initiated.
- To place the callbacks you request — when you submit your number for a callback, we use it to place an automated, AI-voice phone call to you, and we may record and transcribe that call to understand your needs, book a discovery call, and improve our service.
- For marketing — send periodic emails about our services. We may also contact businesses we believe could benefit from our services using contact information they have made publicly available; see Section 6.
- To improve our services — analyze how visitors use the site, measure the performance of our marketing, and refine our offerings.
- To comply with the law — meet legal obligations, respond to lawful requests, and protect our rights.
4. How we share information
We do not sell your personal information. We share it only with the categories of recipients below, and only as needed to operate our business:
| Category | Provider examples | What's shared |
|---|---|---|
| Hosting and infrastructure | Vercel, Netlify | Website traffic, request logs |
| Database | Supabase | Information you submit through forms or chat |
| Email and SMS delivery | Google (Gmail), Twilio | Recipient address/number, message content |
| AI voice calls | Vapi, Twilio | Your phone number, call audio, recordings, and transcripts |
| AI processing | Anthropic, MiniMax | Limited context needed to draft replies or classify documents |
| Advertising and analytics | Meta Platforms | Event data via the Meta Pixel and the Conversions API; hashed email addresses for Custom Audience matching |
| Payments | Stripe | Card and billing details when you pay |
| Scheduling | Cal.com | Booking details for discovery calls |
| Business research | Google Places, Brave Search | Public business data we look up while preparing outreach |
We require these providers to handle information consistent with applicable privacy laws and use it only to perform the service they provide to us.
We may also disclose information to comply with the law, enforce our Terms of Service, or protect the rights, property, or safety of BTR.WRK, our clients, or others.
5. Cookies and Meta technologies
We use the Meta Pixel and the Meta Conversions API (CAPI) to understand how visitors arrive at our site and to measure the results of our advertising on Facebook and Instagram. When you submit one of our forms (audit, inbound, booking), we may send a server-side Lead event to Meta containing limited information (such as a hashed email or phone number) so that Meta can match the event to an ad click and improve ad optimization for our account.
We may also upload hashed contact information from our customer and lead database to create Meta Custom Audiences, which Meta uses to help us reach similar businesses with our ads. The contact information is hashed before it leaves our systems so Meta does not receive raw email addresses.
For more about how Meta processes data on our behalf, see Meta's Custom Audiences Terms and Privacy Policy. You can manage ad preferences and opt out of ad personalization in your Meta account settings.
You can also block or delete cookies through your browser settings. Doing so may prevent some features of our site from working as intended.
6. Calls, texts, automated messages, and recording
6.1 Automated and AI-voice calls you request
Some of our forms let you request a phone call — for example, by entering your number and asking our AI to call you back. When you submit your number on one of these forms:
You give your prior express consent to receive telephone calls and text messages at that number from BTR.WRK, including calls placed with automated dialing technology and an artificial or AI-generated voice. Consent is not a condition of purchasing anything from us. Message and data rates may apply; message frequency varies.
- The caller may be an AI voice agent, not a live person.
- Calls may be recorded and transcribed for quality, training, scheduling, and record-keeping. By continuing the call you consent to that recording; if you prefer not to be recorded, tell the agent or hang up.
- We place the call to follow up on the request you made and to help you book a discovery call.
6.2 How to opt out
You can stop automated calls and texts at any time: tell the AI agent on a call to stop calling, reply STOP to any text, or email btrwrk.ai@gmail.com with the subject line "Opt Out." We honor opt-outs promptly; please allow up to 10 business days to take effect across all systems.
6.3 How we contact other businesses
BTR.WRK provides services to other businesses, and we may contact business representatives where we believe our services could be a fit. When we do this, we:
- Use contact information businesses have made publicly available, or that you have provided to us directly;
- Identify ourselves accurately as BTR.WRK and provide a working reply address;
- Include an unsubscribe option in every commercial email, and honor opt-outs promptly;
- Honor SMS opt-outs when a recipient replies STOP, UNSUBSCRIBE, or similar.
7. Your choices and rights
Subject to applicable law, you have the right to:
- Access the personal information we hold about you.
- Correct information that is inaccurate or incomplete.
- Delete your personal information — see our Data Deletion page for the full process, what we remove, what we are legally required to retain, and how long it takes.
- Opt out of marketing emails, texts, and automated calls at any time.
- Withdraw consent where we rely on consent to process your information.
To exercise any of these rights, email btrwrk.ai@gmail.com. We will respond within 30 days. We may ask you to verify your identity before fulfilling the request.
For California residents
If you are a California resident, the California Consumer Privacy Act (CCPA) gives you specific rights regarding your personal information. The categories above describe what we collect, why, and with whom we share it. We do not sell personal information for monetary consideration. You may make a request under the CCPA by emailing btrwrk.ai@gmail.com with the subject line "CCPA Request." We will not discriminate against you for exercising your rights.
8. Data retention
We keep your information only for as long as it is reasonably needed for the purposes described in this policy, or as required by law. In practice that means:
- Active client records are kept for the duration of our engagement and for up to 7 years afterward to meet tax and contract record-keeping requirements.
- Lead and audit-form submissions are kept for up to 24 months from your last interaction, then deleted or anonymized.
- Marketing analytics are typically retained for up to 26 months in line with Meta and Google defaults.
You can ask us to delete your information sooner; see Section 7.
9. Data security
We take reasonable steps to protect information against loss, theft, misuse, and unauthorized access — including TLS in transit, encrypted databases, scoped access tokens, and limited staff access. No method of transmission or storage is 100% secure, however, and we cannot guarantee absolute security.
10. Children's privacy
Our services are intended for businesses and adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, please contact us and we will delete it.
11. International users
BTR.WRK operates from the United States. If you access our site from outside the United States, your information will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date above. Material changes will be highlighted on the site or, where appropriate, communicated to you directly.
